Payments Built for Legal Practices

Retainers collected before the engagement letter is filed, invoices paid by link instead of by check, and deposits kept on the right account with an audit trail behind every one.

Operating and Trust, Separately

Run a separate business profile for trust deposits with its own merchant account, so client funds and earned fees never share a gateway or a deposit.

ACH for the Big Ones

A bank-debit option next to the card on every invoice, at a flat fee instead of a percentage, with settlement and returns tracked.

Every Action Logged

Roles per user, module-level permissions and field-level history on every record, so the bookkeeper, the paralegal and the partner see what they should.

The Law Firm Payment Problem

A firm's billing has two problems most businesses do not. The first is realization: invoices for work already done, sent monthly, paid by check whenever the client gets to it. The second is the trust account: retainers and settlement funds that must be kept apart from operating money, deposited in full, and never reduced by a processing fee, under rules that every state bar enforces.

FloPay addresses both without pretending to be a trust-accounting system. Retainers and invoices are collected by link, on a hosted page, with card or ACH; a separate business profile with its own merchant account receives trust deposits, so nothing intended for the client account touches the operating gateway; and every payment, refund and edit carries a user and a timestamp. Your accounting and bar-compliance practices stay where they are, with fewer checks to chase.

How a Matter Gets Paid

Retainer by link

The engagement letter goes out with a payment link. The client pays the retainer by card or ACH on a hosted page, into the profile you designate for trust deposits.

Invoices with a pay button

Monthly invoices are sent by email with a hosted pay link and, where the client has opted in, by text. No PDF-and-wait.

Flat-fee matters on a plan

A flat-fee engagement becomes a down payment plus installments with an e-signed agreement, charged to the stored card or bank account.

Reminders on your terms

Email and text reminders before and after the due date, each with the link, stopping when paid.

Reconcile and report

Payments post to the right invoice and sync to QuickBooks Online; analytics show collections by provider and period.

Why Firms Switch

Realization Goes Up

An invoice with a pay button gets paid weeks sooner than one that asks for a check, and reminders that carry the link do the following up.

Nothing on a Sticky Note

Card details are entered by the client on the hosted page and stored as tokens. Staff never see a full card number.

Frequently Asked Questions

  • Can I keep trust deposits separate from operating funds?

Yes. Set up a separate business profile with its own merchant account for trust deposits, and direct retainer and settlement links to it. Ask your processor for monthly fee billing on that account so fees are never netted from a trust deposit. FloPay does not replace your trust accounting or your state bar's rules; it keeps the payments on the right account with a record of each one.

  • Yes. Every invoice link can offer ACH next to the card. The client enters their bank account on the hosted page, the account is validated and stored as a token, and settlement and returns are tracked alongside card payments.

  • FloPay provides a REST API and signed webhooks for payment and order events, and syncs with QuickBooks Online. Contact sales to discuss the system your firm uses.
