The Multi-Business Payment Problem
An owner with three companies usually has three merchant accounts, three gateway logins, three sets of customers and a bookkeeper with a sticky note of passwords. Nobody can answer "what did we take in yesterday" without logging in three times, staff end up sharing credentials because granting access is a chore, and the one person who can see everything is the one who should least be able to issue a refund.
FloPay keeps the separation the accountant and the processor want and removes the separation the owner feels. Every company is a business profile with its own gateway, routing, ledger and QuickBooks connection. Every person has one login and a role on each business they need. Switching is a dropdown, and every refund, edit and payment is recorded against the business it belongs to.
How It Works
A profile per business
Each legal entity, location or brand is set up as its own business profile with its own name, documents, customers and orders. A holding company, two operating companies and a trust account are four profiles.
Its own gateway and routing
Each profile holds its own merchant account credentials on any supported gateway (NMI, Authorize.net, Stripe, USAePay, Maverick, CardPointe and more) and its own routing: a single provider or a percentage split across several.
A role per person per business
Grant admin, write or read on each business separately. Module permissions decide which parts of the platform a person sees at all. See team access.
Switch and work
The business selector in the header lists every company you can reach. Pick one and the dashboard, payments, invoices, subscriptions and messaging scope to it. The last business you used is remembered for next time.
Books per business
Each profile connects to its own QuickBooks Online company, so payments, fees and refunds post to the right file without a journal entry to split them.
What Stays Separate and What Comes Together
Per business
- Merchant account, gateway credentials and routing rules
- Customers, orders, invoices, subscriptions and the payment ledger
- Branded documents, statement descriptor and messaging templates
- QuickBooks Online connection and account mapping
- Chargeback alert enrollment, including several storefronts or MIDs under one business
- Audit trail of every change, recorded with the user and the business
Across businesses
- One login and one password for every person
- A business selector that remembers the last business used
- A role on each business: admin, write or read
- Module permissions per person, applied wherever they work
- Support impersonation with a visible banner, limited to the businesses the supporter is allowed to see
- A consolidated payments export across businesses, run by your FloPay or partner admin, with business, provider, status, amount, card type, order and customer per row

Talk to SalesFrequently Asked Questions
-
Can I see all my businesses in one dashboard?
Dashboards, reports and payment lists are per business, and switching is one click in the header. For a consolidated view, your FloPay or partner admin can run a payments export across any set of your businesses, delivered as a CSV by email with the business, provider, status, amount, card type, order and customer on every row.
-
Does each business need its own merchant account?
Each business profile carries its own gateway credentials and routing, which is what keeps money and books separate. Most owners give each legal entity its own merchant account for exactly that reason. Talk to us if two entities share one account and we will set the profiles up to match.
-
Can my bookkeeper see every business without being able to refund anything?
Yes. Grant the bookkeeper a read role on each business. They can see payments, invoices and reports on all of them and change nothing. Admin and write roles are granted per business too, so the manager of one location gets write on that one only.
-
Is the audit trail separate per business?
Yes. Every logged change records the user and the business it happened in, so a refund on company A never appears in company B's history.
-
Can one QuickBooks file serve two businesses?
Each business profile connects to one QuickBooks Online company. If two profiles should post to the same QuickBooks file, talk to us about the setup before connecting; the usual answer is one profile per QuickBooks company.
